Raise your hand if you’ve ignored emails for months but read a text message as soon as your phone pinged. I relate completely to this sentiment! 

This proves that SMS’s are much more effective for communicating with the masses, if you want their attention. 

SMS is an age-old concept, but chatbots are comparatively recent. And tech has managed to put them together to create a dynamic way for businesses to reach people more efficiently and vice versa. 

Not only can businesses reach out, but customers can also get their hands on the support team. They can get their queries answered and their problems addressed. 

The bare minimum requisites- a working phone with a connection.

I wanted to understand from a layman’s perspective how sms-based chatbots can be leveraged.

What is an SMS chatbot, and how does it really work?

An SMS chatbot is a software that responds to incoming text messages automatically by analyzing their meaning. It can hold multiple human-like interactive conversations at scale. Think of the bot as a person who can answer queries, book appointments, track orders, etc.

And they reply way quicker than any human assistant could ever type out responses. 

SMS bots are used in all aspects of a business you can imagine. 

How does an SMS chatbot work?

To talk about how it works, the process can be explained in simple terms:

  1. You need to connect your business phone number to a chatbot system. 

  2. Now, any SMS sent to that number gets routed to the chatbot system. 

  3. It analyses the incoming text.  

  4. Now the bot sends an automated response. All within seconds. 

Now, an important thing to note is that how a chatbot analyzes an incoming message depends on its type.

Types of SMS chatbots and when to use them

There are three types of text-based chatbots that are very commonly used nowadays. 

  1. Rule-Based Chatbots

This simple SMS chatbot functions in a pretty straightforward way, using preset rules or decision tree logic. They respond to specific keywords, phrases, numbers, commands, or actions that have been fed to them in advance. 

So basically, it’ll ask you to press “1” for the first option, “2” for the second, and “0” to return to the main menu.

Where are these rule-based SMS chatbots used: 

  • Appointment booking

  • FAQs

  • Order tracking

  • Simple lead qualification

  • Event registrations

  • Surveys & feedback collection

  • Payment reminders

Select a Rule-based chatbot:

For basic things like booking confirmations, order tracking, FAQs, collecting feedback, etc, the chatbot flow will be pretty predictable. Here, a rule-based SMS chatbot would be a good fit. It works perfectly when structured and repetitive elements are involved. Also, they require less investment and are easier to deploy.

  1. AI-Powered Chatbots

These bots are a step ahead of the rule-based ones. 

They use Natural Language Processing (NLP) to understand the context and intent behind a query. So this chatbot actually gets you, even when you misspell or use informal language, and comes back with the answers you seek. 

They learn over time and become more effective as they handle more two-way conversations, increasing customer satisfaction.

This question may come to your mind if you are new to the concept of chatbots or are thinking of trying one out. Humans can do what a chatbot does, sure. 

However, processing enormous amounts of data in seconds and handling hundreds, even thousands, of conversations simultaneously would take an entire army of trained professionals.

Text messages have the highest open rates among all other messaging media. This means SMS’s have the highest probability of reaching the target and being seen by them.

Pre-Established Credibility

In this day and age of apps, in-app notifications come a dime a dozen. And most of them turn out to be promotional material and are ignored. But texts are considered credible, as most of the important information is delivered through them.

This means any information businesses send through a chatbot will not be ignored. And when opened, they bring action and customer engagement, which is the main goal.

When exploring the subject, I noticed that a lot of businesses prefer to use SMS-based bots instead of web or messenger bots. Which makes me ponder the reason behind this pattern. 

So here are all the key differences I found, which might help you decide as well.

When should you use an SMS chatbot?

You must have encountered a variety of chatbots in your daily lives. Sometimes it’s they who initiate conversation, but it can also be the other way round. I have compared two of the major categories in the previous section. 

Now is the time to ask whether an SMS chatbot is the right choice for you. 

Here are the considerations under which choosing an SMS-based chatbot will be the right choice for you: 

  • If the outcome is time-sensitive: Visibility-wise, an SMS outperforms all other apps. So if you want your message to be seen as quickly as possible, then SMS will be the best medium. 

  • When a rich experience is not necessary: The required outcome might be as simple as a link-click, or 2 step information process, or a one-line answer to a query. In this case, you should go for SMS chatbots. 

  • When customers are not inclined to use the website or app: Additional steps in the journey make a lot of customers non-responsive. If you want to give them a simpler way to initiate communication, an SMS bot will be the perfect solution. 

  • If you are not handling prolonged conversations: SMS is mostly suitable for short exchanges. If you predict incoming queries or the following answers in the use case are going to be lengthy, an SMS chatbot might not be a suitable bet. 

If your requirements are aligned with the conditions I’ve mentioned, you are the perfect candidate for using an SMS chatbot.

How to build and deploy an SMS Chatbot 

In the past, building chatbots took some effort and a lot of engineering. Coding was essential for coming up with a bot that would respond according to your plan. 

However, now, building a chatbot is less about complex coding and more about setting up the right pieces in the correct order. So I'll take you through the basic steps that you’ll need to follow to create an sms-based chatbot: 

Step 1: Establish what the text bot is meant for 

When introducing a new element into your workflow, make sure to understand its function. For a chatbot, pinpoint the exact role it is going to take on and then proceed. 

Achieving clarity from the very beginning will help build a clean design for the bot. 

Step 2: Select an SMS provider platform

Now select any SMS provider of your choice. This platform will receive all the SMS coming to your business number. Some of the well-known SMS vendors include Twilio, Vonage, TechAlpha, etc. 

Once picked, create an account on this platform, verify your business, and get a phone number. This number will be used to automatically send and receive SMS.  

Step 3: Map out SMS sequence

As you had earlier narrowed down the exact use case of your SMS chatbot, now you need to design the conversation the chatbot will have. 

Write the chatbot script step by step and list every possible answer to a question and its matching replies. 

For example, A bot is set up to confirm restaurant pre-bookings. So this is how the conversation will go:  

SMS chatbot triggered 24 hours prior to the booking times selected. 

Bot: Hi there! A reminder to confirm your booking at West Wind Restaurant. Reply with 1 to confirm, 2 to cancel, and 3 to reschedule. 

1: Thank you for confirming. Your table has been reserved. 

2:  Your booking has been cancelled. Please dine with us in the future. 

3: Please send us the date and time you want your new bookings in this format:

For 3: Your booking has been rescheduled. 

Also, make sure to decide what the bot’s reply will be if the customer replies in an invalid format or says something out of the script. 

Step 4: Build the logic inside a Chatbot Builder

There are many chatbot builders available that can connect to the SMS vendors. You can build your conversational flow in a visual interface without the need for any coding. 

If you’re not someone who is technically trained, I recommend you take this option.

Here are the steps to build your chatbot in minutes:

Once you’re done building, test it thoroughly and look for any gaps or loopholes in the conversational flow. Once you are done fixing the problems, make it live. 

Once the SMS chatbot starts functioning, you will receive performance reports that provide a lot of first-hand insights. Use them to make changes and improve the bot for better customer engagement.

Things to note before deploying an SMS chatbot

While using a sophisticated piece of tech, you should be very clear about its limitations and the rules involved. 

It goes the same way with any SMS chatbot. 

So before you step into employing a text-based chatbot, know this: 

  • Character and media limitations: SMS’s are bound by a character limit and can’t easily send any multimedia files. 

  • Pricing considerations: The cost to send SMS messages varies depending on which SMS vendor you are using and how many you would need to send per month. 

  • Consent is non-negotiable: You must have permission from the customers to send SMS to their numbers you have taken. 

  • Easy opt-out provisions: Keep customers informed on what they can do to stop receiving messages from your business if they choose to. 

  • Records of opt-ins and opt-outs: Keep the history of all the customers who have agreed to receive messages from you, and also the ones who have actively opted out of getting any further SMS’s from your business. 

Now that I’ve listed down the potholes, you know what to watch out for. 

But you also need to know the markers of a good SMS chatbot platform. 

What to look for in a chatbot platform

Integration capabilities

The platform should be capable of integrating with the rest of your tech stack seamlessly. This helps avoid data silos among different software systems, running your operations smoothly. 

Ease of use

The platform should be easy to use for anyone, regardless of their technical skills. You must be able to create and deploy chatbots with little to no coding involved. 

Security compliance

One serious consideration that you must keep in mind while selecting your SMS chatbot provider is that it is compliant with all the security measures of the location. This involves data protection, telecommunication regulations, and cybersecurity best practices. 

Since SMS is a lesser secured and protected channel, it's imperative that you stick to the rules. 

Analytics

Data-supported insights are an absolute necessity. You should not go for a chatbot that simply answers messages. It should give you a complete scope of how people are interacting with the said SMS messages, and if the bot is able to solve the queries it is meant to.  

A good platform should give me clear, detailed chatbot analytics so I can understand customer behavior and continuously improve the chatbot instead of just guessing what’s working.

Human handoff

However advanced your chatbot might be, there are some situations that necessitate human intervention. That’s why I’ve figured that an SMS chatbot, like a lot of messenger bots, must have the feature to handoff an ongoing conversation to a human agent

If a chat is handed off to a live agent at the right time, it can save you from customer frustration and improve CX by a long shot.
